How do I renew a tenancy or update the agreement?
When a fixed-term lease is coming to an end, or you and your tenant have agreed on new terms for a periodic tenancy, you can renew from inside the existing tenancy. Everything from the current agreement carries across, so there's no re-entering details and no new onboarding for your tenant.
Two ways to renew
Quick Renew is for the common case where only the essentials change. On your tenancy dashboard you'll see a Renew button (for a fixed-term lease) or Update Agreement (for a periodic one). The popup lets you change just four things: agreement type, term, start date and rent. Everything else is inherited from the current agreement.
The full renewal flow is for anything beyond those four fields, such as special conditions, utilities or who is on the lease. Get to it from the Use the full renewal flow link at the bottom of the Quick Renew popup, or from the Renew button next to a completed agreement on your Tenancy Agreement List. It opens the same wizard you used to create the original agreement, pre-filled from it, so you only edit what's changing.
What's different about a renewal
- No bond and no rent in advance. The original bond stays in place and rent simply continues at the new rate. The bond section of the renewal agreement says so in as many words: "As per previous agreement. Any bond previously paid in relation to the tenancy continues to apply. No additional bond is payable solely as a result of this renewal." If you genuinely need a new bond, that's a new tenancy agreement rather than a renewal.
- No new entry condition report. The original report stays attached to the tenancy.
- The start date is picked from a list, not typed. For a fixed-term lease it's the day after the current lease ends. For a periodic tenancy it's the next date on the rent schedule. This keeps the rent schedule continuous so there are no missed or doubled-up payment days.
- Rent increases. If the new rent is higher than the current rent you'll see a warning specific to your state. You're responsible for serving the correct rent increase notice to your tenant, and you'll tick a box confirming you've done so before sending. A renewal is the only way to change the rent yourself in PropertyNow. If an increase needs to take effect at another time, for example because your notice period ends after the new agreement starts, let us know and we'll update the payment schedule for you.
- Changing tenants. You can remove co-tenants or switch which tenant is the primary tenant, with one rule: the new primary tenant must have been on the previous agreement. See Can I change the tenants when I renew?.
What happens after you send it
- Your tenant receives an email and accepts the renewal in their tenant portal.
- The new agreement is generated and emailed to you to sign, then to your tenant, exactly like the original.
- A new section on your dashboard tracks where it's up to: Pending Signatures until everyone has signed, then Signed, Pending Start until the start date arrives.
- Once signing is complete, the first payment under the new agreement is created. It's due the day before the new start date, so the first rent period begins on the start date itself.
- On the start date the old agreement ends automatically and the new one becomes the active agreement. Your rent ledger and reports run across both, so there's one continuous history.
If the old agreement's end date doesn't line up with the rent schedule, a smaller pro-rata payment closes it out. See Why is there a pro-rata rent payment?.
If the fixed term ends before a renewal is signed, the tenancy switches to periodic automatically and rent keeps running, so nothing stops while the paperwork catches up. See What happens when a fixed-term lease ends without a renewal?.
One thing your tenant needs to do
A PayTo agreement is tied to a single tenancy agreement, so your tenant needs to set up a new one for the renewal even if the rent hasn't changed. If they pay by direct debit they only need to update the amount, and only if the rent has changed.
