# What to do once you've found a tenant in QLD

# What Happens After You Find a Tenant in Queensland: Leases, Bonds, and Next Steps

Congratulations on finding a tenant!  
 This guide assumes you’ve already screened your applicants and chosen your preferred tenant — ideally using PropertyNow’s **Rental Management subscription**, which helps you handle everything in one place.  
Even if you’re not using our subscription yet, this guide will still help you understand what comes next.  

> **Tip:** Once you’ve accepted a tenant, remember to **mark your listing as leased** in your PropertyNow account.  
> We’ll automatically notify all other enquirers and applicants (except the successful tenant) that the property has been leased — saving you time and avoiding awkward follow-ups.

> **A quick heads-up on Queensland applications:** since 1 May 2025, QLD requires landlords to use the state's approved standard rental application form, with limits on the documents and information you can request. Applications through PropertyNow are powered by **2Apply, which is fully compliant** — so if your tenant applied through your listing, you're already covered. Just keep it in mind if you ever accept an application outside the platform.



## Step 1: Create and Send Your Lease Agreement

Once your tenant is approved, you can create your lease agreement directly through your **PropertyNow account** — it only takes a few clicks.  

* We’ll **pre-fill the tenant’s details** automatically from their application to save you time and ensure accuracy.  
* You’ll confirm key details such as rent amount, bond amount, and lease term.  
* Both you and your tenant can **sign digitally** for convenience and compliance.  

When you generate the agreement, your tenant will automatically receive an invitation to access their own **PropertyNow tenant account**.  
From there, they can:  
* View and sign the lease  
* See payment details  
* Set up their rent payments if you’re using our automated rent collection service  

PropertyNow also automatically provides the tenant with:  
* The **Pocket Guide for Tenants**  
* The **Tenant’s Guide to Bond**  

> With a Rental Management subscription, your lease agreement and tenant’s application are stored automatically in your PropertyNow account for easy access anytime.



## Step 2: Complete the Entry (Condition) Report

Before the tenant moves in, you’ll need to complete an **entry condition report** to document the property’s state at the beginning of the tenancy.

* Fill it in carefully, including clear notes and photos
* QLD's tenancy forms were updated in September 2025 — always download the latest version from the RTA rather than reusing a saved copy



> **On a Rental Management subscription?** You don’t need the blank form. Create the report in your PropertyNow account instead — it detects your property’s state and loads the correct QLD form automatically, lets you add notes and photos room by room from your phone, and handles the tenant’s review and signature. ## Step 3: Review Tenancy Guides and Requirements

Before finalising the lease, make sure that:  
* You’ve read and understood the **Managing General Tenancies in Queensland** guide (attached in your onboarding email).  
* You’ve gathered a copy of any **body corporate rules or by-laws** if your property is part of a strata or community scheme.  
* **Smoke alarms** are installed and working, and the property meets Queensland’s **minimum housing standards**:

* You have **keys, remotes, and access devices** ready — each tenant named in the agreement must receive their own set.  



## Step 4: Prepare for bond collection and lodgement

## Step 5: Keep Everything Organised

If you have a **Rental Management subscription**, all of your key documents — the lease agreement, tenant application and any other files you upload — are stored automatically in your PropertyNow account. Document storage isn't included on the advertising-only package, so if you're not subscribed, keep your own copies of everything.  

You can access them anytime for reference or record-keeping.  
We recommend also storing your:  
* Entry (condition) report  
* Bond confirmation  
* Compliance certificates  
* Maintenance notes or receipts  

Having everything in one place keeps you compliant and makes managing your tenancy simple and stress-free.
